Important notes for planning your school’s trip to Guildford Cathedral
There are many things to consider when planning and booking a school trip. The Cathedral has a comprehensive Terms and Conditions document setting out everything you need to know about the expectations for your visit and how everything will be managed in the planning stages and on the actual day of your visit. You will be sent this document once your date is confirmed, and you can also download it here.
Health & Safety
Please note it is the responsibility of the leader of the group to make any risk assessment required but, provided sensible behaviour is observed, the cathedral does not pose any great risk. If you need a template for your risk assessment, you can download one here. Guildford Cathedral will complete their own risk assessment for any visiting school or group and this can be emailed to schools at their request.
Ratios
The expected ratio of staff to pupils varies according to the ages of the pupils you are bringing with you.
EYFS – 1 adult to 6 children
KS1 – 1 adult to 8 children
KS2 – 1 adult to 8 children
KS3 – 1 adult to 10 children
Cancellations
If you need to cancel your visit, please give as much notice as possible: we may be able to offer an alternative date with advance notice. In the event of cancellations close to the date of the visit the following charges will be levied:-
- Less than two weeks’ notice – 25% of the cost of the visit
- Less than one weeks’ notice – 50% of the cost of the visit
- Less than 48 hours’ or non-appearance of group – 100% of the cost of the visit
Additionally, please note that sometimes the Cathedral is required to be closed at short notice due to unforeseen circumstances, such as a funeral, insufficient staff and volunteering numbers, or inclement weather. If this occurs, we will do our best to rearrange your visit in the shortest time frame possible within the constraints of the Cathedral Diary.
